Description of Job
In accordance with facility needs, this position will report to the office on a regular basis and candidates will not have the ability to work from home. This position will typically work Monday through Friday during regular office hours, but hours may vary based on the needs of the facility.
This position exists to be the manager of the Business Office. This position reviews and analyzes accounts receivable, accounts payable, collections, and month-end close. This position serves as a back up to facility biller/AR. This position prepares the month-end close process, including journal vouchers in the CORE system. This position reviews and approves receiving reports, cash receipts, and preparation of various reclassification entries. This position helps the facility to gather any information that the Division needs. This position will work closely with the accountant in the office level. This position helps to track any expenditures in the facility to prevent the fiscal rule violations. This position will review all procurement and contract management documents pertaining to the facility prior to approval. This position assists with the development of such procurement documents as Scope of Work, Documented Quote, Sole Source Justification, waivers. This position attends scheduled Fitzsimons Advisory Board Committee meetings, Triple Check Meetings, and other meetings necessary to report on the financial status of the facility. This position relays information to facility staff regarding State rules and regulations as they relate to financial matters, specifically procurement and contract management.
Oversees accounts receivable, accounts payable, collections, and fixed assets for Fitzsimons.
Focuses on cross training staff in each area, current list of Medicaid eligible residents for staff and providers.
Oversees the reporting of income and status changes to The County Department of Social Services and ensures all title XIX regulations are followed with regard to billing and eligibility.
Oversees regular billings of Medicare, Medicaid, Hospice, Department of Veterans Affairs, and resident room and board.
Oversees resident banking, petty cash, and donation functions.
Assures policies and procedures pertaining to each are understood by staff and being followed.
Reviews the VA Per Diem Billing.
Approve the Donation Account and Bank Reconciliation of Donation Account.
Review and approve the receiving reports, cash receipts and prepare the different coding reclassifications.
Budget Preparation, Monthly Financial review, month end close and Reporting:
Work with NHA department managers and accountant in OAADS for budget preparation and submit to the CFO for approval.
Prepare and analyze monthly budget to actual variance report before meeting with division for review.
Ensures all financial reports and processes are in place for all three funds including operation, patient benefit, and trust fund.
Assist the accountant in OAADS and CFO for any internal and external financial audits including financial independent audits.
Prepares reports/documentation as needed during various surveys including VA and CDPHE Recertification Surveys.
Prepare the necessary information/reports/documentation as needed and submit it to the accountant in OAADS.
Prepare the month end close including the journal voucher in the CORE system.
Contracts and Procurement:
Oversee Purchase Orders and Contracts.
Work with staff to draft procurement or contract documents, including Requests for Proposals, Information for Bids, Documented Quotes, Personal Service Waiver, Sole Source Justification etc., prior to being forwarded to Nursing Home Administrator, accountant in OAADS or designee.
This position approved p-card use and all expenditures.
This position ensures vendor and contract adherence.
This Position is responsible for managing spending.
Manages Business Office in the VCLC-Fitzsimons.
Meets with staff on a monthly basis and as-needed basis to review aging and expenditure as they affect staff in the department and the facility.
Directly supervises these positions for planning and evaluating performance, issuing corrective actions, resolving informal grievances and initiating disciplinary actions.
Develops performance planning and evaluation forms specific to these services.
Meets regularly as a group and one-on-one.
Other Duties As Assigned:
Attends daily management meetings, resident council and other meetings as assigned.
In addition, the position would be a backup for going to the bank for deposits.

Minimum Qualifications, Substitutions, Conditions of Employment & Appeal Rights
Bachelor’s degree from an accredited institution in accounting and four years of professional accounting experience.
Bachelor’s degree from an accredited institution which included 27 semester hours of
accounting or auditing coursework will substitute for the degree requirement.
Additional appropriate experience will substitute for the degree requirement on a year-for-year basis.
Current, valid licensure as a CPA by the Colorado Board of Accountancy will substitute for the degree requirement and two years of the professional accounting experience. Additional appropriate education will substitute for the required experience on a year-for year basis.

Experience working in a skilled nursing facility, nursing home or other healthcare setting.
Demonstrated experience working with Point Click Care (PCC) or with another healthcare software.
Demonstrated knowledge and experience with Medicaid, Medicare, cost accounting, cost allocation and/or human-services related programs.
Working knowledge of billing and collection activities in a healthcare setting.
Demonstrated proficiency with Microsoft Office or Microsoft Office 365 and Google Suite.
Working knowledge of account reconciliations.

Ability to interact with various stakeholders, both internal and external to the unit, and able to demonstrate a strong customer orientation and dedication.
Ability to set and prioritize workload, identify short- and long-term goals and develop strategies to achieve them, and coordinate with internal and external business partners.
Conditions of Employment:

Must be willing to test for Tuberculosis (TB) test.
